JOB DESCRIPTION

Purpose

Role Description/ Working Relationships
The HS Registrar and Counseling Office Assistant is responsible to the Head of HS Counseling and the HS Principal.

The HS Registrar and Counseling Office Assistant is expected to:

• Supporting the High School:
o Be a key member of the support team in the high school
o Be present at the High School front desk when needed (i.e. breaks high need times, such as first thing in the morning)
o Support the other High School Assistants with high needs tasks (i.e.Graduation preparation, China Studies preparation, or other High School relevant tasks)

• Supporting the Counseling Office:
o Be the first welcoming member of the office with professionalism, kindness and an attitude of willingness to support.
o Maintain student cumulative files and records, updating database and platform relevant to the counseling department. (College and other counseling resources, test scores, student confidential files, etc.).
o Working with other relevant departments in supporting the work of the HS Counseling Office, including but not limited to the IT department, Student Record office, Admissions, HS Front Desk, etc.
o Assist HS Counselors with coordination and advertisement of college visits or fairs, parent information sessions, counseling workshops (including logistics of visits, advertisement).
o Coordinate the sending of all college/university applications documents, working closely with the counselor and ensuring that each application is complete before sending.
o Use college counseling platforms to maintain current relevant college/university applications and student records.
o Produce official documents (i.e. transcripts) as required
o Support in course selection process where applicable, supporting the counseling team in producing documents, checking of courses schedule and sending out course confirmations to student/parent.
o Updating of bulletin boards and office with information related to counseling office (social emotional and college/university related)
o Support in college/university related work as needed (external standardized tests)
o Support in maintaining a robust collection of College and University Resources.
o Carry out administrative tasks as needed and assist the counseling team as directed.
